Privacy Notice

This privacy notice explains, in plain terms, how FieldLab expects to handle personal data, project data and uploaded knowledge during controlled pilot and proof-of-concept activity. Final data processing arrangements are confirmed in writing with each participating organisation before live deployment.

1. Scope

FieldLab provides a construction intelligence platform built around Site Capture, Site KB and FieldGuide. The product is intended to support controlled retrieval from uploaded sources, controlled project records and company knowledge.

2. Data FieldLab may process

During a pilot or proof of concept, FieldLab may process:

  • account and user information needed to identify authorised users
  • organisation, project and role information needed to apply permissions
  • site notes, voice notes, photos and structured forms
  • generated reports and structured outputs
  • uploaded project documents
  • uploaded company documents, templates, policies and procedures where provided by the participating organisation
  • usage and technical information needed to operate, secure and improve the service

3. Purpose of processing

Data is used to provide Site Capture, Site KB and FieldGuide, including:

  • capturing project information
  • organising records and uploaded knowledge
  • retrieving source-backed answers
  • generating reports, briefings, meeting packs or structured outputs
  • applying role, project and organisation access controls
  • supporting pilot evaluation, troubleshooting and service improvement

4. Access and permissions

Access depends on role, project, organisation and permission settings. FieldLab does not provide uncontrolled company-wide search by default.

5. Retention

Retention periods are agreed with each pilot or proof-of-concept organisation before live use. FieldLab is designed around archive-minded handling rather than casual deletion of core project records.

6. Third-party processing and AI services

Where AI services are used for transcription, retrieval or structured outputs, the processing approach is agreed with the participating organisation as part of the pilot setup. FieldLab does not sell personal data.

7. Live deployment

Commercial, operational, security and compliance requirements are confirmed in writing before any production or live deployment.

FieldLab is currently inviting selected construction teams to join controlled pilot deployments. Each pilot is scoped around real project records, uploaded knowledge, source-backed retrieval, access control and role-based use across site and office teams.
